Job Description:

  • Daily review of inbound royalty transmittals from the different Editorial teams submitted via the Royalty Transmittal application for products/contracts to be set up in the Royalty System.
  • Monitor Contract Entry Team's workload to ensure compliance with established service level agreement timelines.
  • Work directly with Contract Entry function to have identified data set up problems corrected in a timely and accurate manner.
  • Act as liaison for Author Relations function with Contract Entry for the correction of data set up, as uncovered by the Author Relations team.
  • Support the Royalty Contract Entry offshore team with any questions they may have when working on assigned transmittals, including interpretation of publishing agreement and/or amendments associated with the program set up and how they are applied in the Royalty System.
  • Prepare and provide supporting information related to author requested audits of their account by author designated firms. This includes the research and accumulation of documentation related to the author account as well as the running of formal audit detail reports for preparation and submission to the author's designated firm/entity.
  • Escalate questions, issues, or unusual items to management for proper resolution. This includes to the Manager-Royalty Contract Entry and also includes the various Business Unit Editorial teams.
  • Identify and present to manager ways to improve processes including new reporting/data analysis approaches.
  • Provide Support to Royalty Management related to special projects assigned.
  • Daily monitoring and follow up on Royalty Transmittals in the (a) Rejected Status: review and take necessary action to correct; and (b) Business Unit Approval Status: contact Business Unit Subject Matter Expert responsible for completing the review and approval step, in order to ensure timely completion.
  • Review of monthly unmatched sales results and take needed action on items under Royalty Operations responsibility to resolve. Identify key contacts at business unit and perform follow up and provide assistance to have business unit responsibility items resolved in a timely manner.
  • Support and work together with onshore team for all internal/external audits. Provide necessary documentation as per SOX requirements and company policies and procedures.
  • Contract Entry has Service Level Agreement to have a submitted transmittal set-up and routed back to Editorial for the review/approval step within 30 days of the transmittal submission.
  • Update/Maintain documented Standard Operating Procedures as changes are implemented and to ensure all are updated/current on an annual basis.
  • Coordinate with Business Unit and/or other Royalty functional areas as necessary to resolve specific queries/issues.
  • Provide support to Manager-Accounting and Controls related to on-going SOX404 documentation requirements and annual

Must Have:

  • This is a true entry level role—right out of school with some internships—interested to move up within the Royalty Ops division

  • Strong analytical skills are required including the ability to work with large amounts of detail data to recognize and act upon this position's responsibilities.

Ideal Candidate will also have:

  • Accounting Experience a plus
  • Managerial skills are needed to identify problem areas, delegate and monitor work flow for better productivity and efficiency.
  • Individual must be able to read and interpret publishing agreements, which are contract language, and translate the language into the data elements for set up into the royalty system.
  • Intermediate to advanced knowledge of MS-Office tools such as excel, access and power point.
  • Individual must be detail oriented, be able to work at times under time constraints.
  • Position will be working with the Royalty Application, a complex system that manages all author agreement terms and conditions and the related computations and of their related financial activity in the general ledger.
  • The employee needs to have an aptitude to learn, understand and apply policies and procedures including the interpretation of the language of an author publishing agreement and the setup of that agreement in the Royalty System.
  • The employee must be able to work under time sensitive situations.
  • Incumbent must be able to accommodate special requests and through time management meet deadlines and requirements.
  • Position must be able to recognize potential issues with how a contract is written and how it must be set-up in the royalty system and bring these situations to the attention of management.
  • Position must be able to identify areas of improvement in the position function and recommend solutions to improve the process/procedures.
