Project Coordinator – Operations & Efficiency

ConsultNet La Cañada Flintridge, CA (Onsite) Full-Time

As a Project Coordinator/Manager, you will be the operational backbone of our client balancing detail-oriented execution (70%) with strong interpersonal coordination (30%). You will own the process behind multiple business functions, ensuring productivity, efficiency, and seamless collaboration across teams, vendors, and clients. You love checking things off your list, keeping projects moving, and ensuring every operational task is executed with precision.

Responsibilities

Operational & Project Coordination

  • Oversee and track multiple areas of company operations to drive efficiency and ensure seamless execution by running monthly reports as dictated by clients policy.

  • Own budget tracking, per clients procedure, for both internal company finances and client projects, ensuring responsible spending and identifying cost-saving opportunities.

  • Implement and refine workflows that optimize internal operations, improving team productivity and client service.

  • Maintain and monitor project timelines, ensuring tasks are assigned and completed on schedule, by pulling daily job reports and reporting on overdues and time management bi-weekly.

  • Process monthly billing with precision, for review and approval by CEO.

  • Conduct cost-benefit analyses for software, tools, and processes, making recommendations to improve efficiency, as requested.

Team Coordination

  • Assist in onboarding new hires, implementing training programs, and ensuring HR compliance.

  • Maintain vendor and contractor rolodex, ensuring quick access to specialized talent as needed.

  • Assist the CEO to ensure payroll and administrative HR duties are completed accurately and on time.

  • Step in and support our team with administrative tasks, like scheduling social media, proofing via Grammarly, updating client reporting and updating website content when necessary.

Client & Vendor Communication

  • Coordinate meetings, agendas, and follow-ups between the CEO and others.

  • Traffic tasks efficiently across employees and contractors, ensuring accountability and timely completion.

  • Communicate with staff, clients, and vendors via email, video chat, and phone, ensuring professional and clear responses.

Reporting & Continuous Improvement

  • Collect, analyze, and prepare monthly analytics reports on company operations, client projects, and financial performance.

Preferred Skills and Experience

  • Strong budgeting and financial tracking experience, including proficiency in creating invoices and reading reports in QuickBooks.

  • Proficiency in project management tools like Monday.com (or willingness to learn).

  • Strong organizational skills, able to manage multiple calendars and deadlines.

  • Experience working in healthcare, government, or nonprofit sectors is a plus.

  • Ability to analyze large amounts of data and extract actionable insights.

  • Exceptional written and verbal communication skills you keep people informed and projects on track.

  • You love details. Typos and inefficiencies don't slip past you.

  • You're calm under pressure. You can juggle multiple priorities and still keep your cool.
